Life Sciences TranslationsWhy MDR/IVDR compliance starts with EUDAMED and accurate specialized translations
As from 28 May 2026, the use of the first four modules of EUDAMED is mandatory: what does this mean for your business?
EUDAMED is the centralized database established to enhance transparency and monitor the safety and performance of medical devices in the EU in accordance with the requirements of the Medical Devices Regulation (MDR 2017/745) and the In Vitro Diagnostic Medical Devices Regulation (IVDR 2017/746). Through EUDAMED, key information about medical devices—including economic operators, certificates, clinical investigations, vigilance data, and post-market surveillance—becomes accessible to authorities and to the public. The system seeks to reinforce traceability, regulatory oversight, and patient safety by requiring consistent, accurate, and properly updated MDR and IVDR documentation. While this regulatory framework does simplify access to vital information, at the same time it also creates a significant need for structured multilingual support for operators.
EUDAMED is a web-based, centralized IT system developed by the European Commission to improve the market surveillance of medical devices across the EU by integrating data on actors, products, certificates, and safety, and it is organized into six interconnected modules:
- Actor Registration Module: registration of economic operators (manufacturers, authorized representatives, system/procedure pack producers, importers)
- UDI/Device Registration Module: information linked to the Unique Device Identification (UDI) system and to legacy devices
- Notified Bodies and Certificates Module: certificates issued by notified bodies and conformity assessment results
- Clinical Investigations module: clinical study data and authorizations
- Vigilance and Post-Market Surveillance Module: reporting of serious incidents, field safety corrective actions, and monitoring data
- Market Surveillance Module: inspections and oversight activities
On 28th May this year, modules 1–4 became mandatory, with subsequent deadlines to be defined for modules 5 and 6.
Why EUDAMED poses a challenge for regulatory medical device documentation
Even before language enters the picture, EUDAMED can be operationally demanding for many organizations.
The system requires the submission and continuous updating of large volumes of information, all subject to strict accuracy and consistency requirements. For medical device manufacturers, this means the need for close coordination between multiple departments: regulatory affairs, quality, IT, production, and sometimes even external partners, each responsible for different parts of the documentation and data flow. At the same time, companies must manage a wide range of supporting regulatory documents, while ensuring that information remains aligned across systems and formats.
In such a complex environment, even minor inconsistencies can lead to delays in registrations and certification processes, as well as trigger audits. These eventualities highlight the importance of careful planning, clearly defined responsibilities, and structured workflows long before translation activities begin.
Why MDR translation represents a real regulatory risk
One critical but often overlooked aspect of EUDAMED compliance is language and document consistency. While EUDAMED itself supports multiple languages, the accompanying documentation (IFUs, labels, certificates, technical dossiers) is not immediately available as multilingual or harmonized.
The risks associated with inconsistency are far from theoretical. When the information entered into EUDAMED does not mirror the underlying source documentation, discrepancies can quickly emerge. Terminology mismatches between device registrations, labels, IFUs, and technical dossiers may seem minor at first glance, but in a regulated environment they can raise serious concerns. During audits or reviews, such inconsistencies can trigger findings, lead to requests for clarification, delay certifications or market access, and in more serious cases even contribute to corrective actions or product recalls. In a system built on traceability and transparency, coherence across all documents and data points is essential.
For example, a Spanish-based manufacturer that markets devices in Germany and France must apply the same logic consistently across systems, labeling, and EUDAMED entries. All documentation must be fully coherent in all required languages.
Why a sound EUDAMED translation workflow is a regulatory asset
EUDAMED compliance requires more than just regulatory knowledge; it also requires a structured linguistic strategy. And expert, domain-specific translations are not mere operational deliverables: they can significantly impact your market access and conformity strategy.
Working with a specialized language partner ensures:
- Terminological consistency across regulatory, technical, and digital environments
- Alignment between UDI data, labeling, and database entries
- Observance of country-specific linguistic requirements
- Secure handling of sensitive regulatory documentation
Properly managed translations reduce data inconsistency risks, strengthen audit readiness, and protect market access. In the MDR/IVDR context, language is integral to regulatory compliance.
