How to find the ideal interpreting solution for your event
Is your company organising an event with participants from other countries, or inviting a keynote speaker of a different nationality to present? Then you’re probably thinking of hiring interpreters. Transmitting key messages and vital information accurately and effectively at your conference or presentation, comes down to a few shrewd decisions before the big day arrives.
Here are a few pointers to help you select the interpreting modes to ensure that your important event is effective and meaningful for all attendees.
Language no obstacle
Start with peace of mind: select a specialised multilingual service provider that knows your industry inside out, and has a verifiable track record in providing trained, experienced interpreters that are well versed in sector-specific knowledge and terminology.
Ask your interpretation partner to provide references and detailed information on their interpreters, including their qualifications and active/passive languages.
Investigate the three main interpretation modes
Different events require different types of interpretation. For example: simultaneous interpretation can prove ideal for a multilingual conference with various participants, while consecutive interpretation often works well for a short business meeting or press conference with a maximum of two languages. Whispered interpretation, also known as “chuchotage” – where the linguist sits or stands beside the target audience – is generally suitable for single-person audiences, or small groups at close proximity.
Once again, your interpreter provider should clearly explain the most efficient and cost-effective options for your event.
Work closely with your multilingual service provider well in advance of the event. Provide key information on speakers and participants, number of languages required, and any parallel or side events that may also require interpretation services. Share relevant materials relating to the event, its content, context and objectives.
In order to meet all possible eventualities, and help streamline budgets, partner with your interpretation provider on logistics. Together, consider factors such as the following:
- How many interpreters are required
- The costs of their travel, accommodation, per diems, etc.
- The provision of simultaneous interpreter equipment (booths, receivers, sound equipment, etc).
- Translation of additional event materials such as brochures, posters, or take-away items
